Advanced Publishing provides a digital magazine platform through a service bureau model. At Advanced Publishing the privacy and security of our customers, readers and visitors are of paramount importance. Advanced Publishing is committed to protecting the data you share with us. This privacy policy explains how Advanced Publishing processes information that can be used to directly or indirectly identify an individual (“Personal Data”) collected through use of its website and platform.

Information Collected Through the Advanced Publishing Website

Advanced Publishing collects personal information with an individual’s permission through their website for the purposes of:

·         Discussing content solutions with prospects

·         Sending helpful information through blogs and drip email campaigns

·         Getting in touch with readers or clients about technical issues they may be having

With each form that is on the website, the individual filling out the form is required to check an opt-in which clearly lets the individual know what kind of contact they can expect to receive.  The individual is also informed that their contact information will never be shared with a third party. Data collected through our website will be held without time limit, but at the request of the individual their information may be removed from our marketing database.

Cookies

Advanced Publishing uses cookies to enhance the end user experience and comply with client requirements for protection and enhancement of their content. Cookies and local storage are required for certain functionality of Advanced Publishing’s products from a technical perspective, such as:

·         Remembering a user so they aren’t required to authenticate every time they view protected content hosted by Advanced Publishing.

·         Session information used to identify a single anonymized user between server calls within a single session.

·         Remembering and re-applying settings and preferences that an anonymized user has set within our products. This data is stored in the user’s browser local storage and is not sent to Advanced Publishing or other servers.

Subscriber Authentication

Advanced Publishing provides an authentication system that some of our clients choose to apply to their content to restrict access to specific readers or subscribers. When authentication is used, Advanced Publishing stores some information about individual users of the clients’ content using a combination of databases and browser cookies. That information can vary depending on the individual client’s implementation and includes such items as:

·         A list of user accounts consisting of usernames, passwords, and details of what content each user account has access to. This information is typically passed to Advanced Publishing by the client, but can also come from an Advanced Publishing hosted custom forms, described further in this document, or entered directly by the client using a backend tool Advanced Publishing provides.

·         Information about how many times a particular user has logged in to access content.

·         Cookies used to track how many pages of content an individual anonymized user has accessed while not logged in and using “Sharekey mode” in Advanced Publishing products.

·         Cookies used to Identify when a user has previously authenticated so they can skip the authentication process when returning.

Custom User Authentication

Some clients use a custom authentication system to protect their Advanced Publishing hosted content. In these cases, the client provides implementation instructions, and Advanced Publishing implements the authentication logic on our servers. In most cases, this involves collecting the username and password from a user via a form when they attempt to access protected content, and passing that information through to the client’s or a third party API to authenticate against the user’s account in their system. Advanced Publishing does not store any information in these cases beyond the life of the server call to authenticate.

Form Data

Clients of Advanced Publishing will sometimes use forms within or in conjunction with our products. Some of these forms are maintained and hosted by Advanced Publishing, while others are hosted and maintained by the client themselves or third parties and embedded within our products.

Advanced Publishing stores the data input by users into the forms that are hosted by Advanced Publishing. No data is held by Advanced Publishing for forms that are hosted by third parties and embedded in Advanced Publishing products.

The actual data that Advanced Publishing hosted forms collect varies for each client and is not used by Advanced Publishing in any way other than to pass to the client upon request, or through automated reports.

Who do we pass/share your personal data with?

We may pass your personal data to our third party service providers, agents, subcontractors and other associated organizations for the purposes of completing tasks and providing services to you that we have agreed to provide.  When we use third party service providers, we disclose only the personal information that is necessary to deliver the service and we have a contract in place that requires them to keep your personal data secure and to keep it in accordance with the requirements of Canadian and US data protection law and not to use it for their own direct marketing purposes.

We may transfer your personal information to a third party as otherwise permitted by Canadian data protection law, for example to our legal advisors or in order to comply with a legal requirement or obligation placed on us by law.

Other than as referred to above, Advanced Publishing will never sell or share personal information with third parties.

We require all third parties to respect the security of your personal data and to treat it in accordance with the law. We do not allow our third-party service providers to use your personal data for their own purposes and only permit them to process your personal data for specified purposes and in accordance with our instructions.

Where is personal data stored?

Our infrastructure and third-party providers are based outside the European Economic Area (“EEA”) so all processing of your personal data if you are an EU citizen will involve a transfer of data outside the EEA.

We ensure a similar degree of protection is afforded to it by using service providers based in the US, if they are part of the Privacy Shield which requires them to provide similar protection to personal data shared between the Europe and the US. How long do we keep your personal data for?

We will only retain your personal data for as long as necessary to fulfil the purposes we collected it for, including for the purposes of satisfying any legal, accounting, or reporting requirements.

What are your data protection rights as an EU citizen?

As a “data subject” under the data protection legislation you have a set of specific rights.  We are required to make you aware of the existence of these rights.  They are in outline:

• the right to request from us, if we are acting as the data controller, access to your personal data;
• the right to request rectification of your personal data;
• the right to request erasure of your personal data;
• the right to request a restriction on the processing of your personal data;
• the right to object to the processing of your personal data; and
• the right to data portability.
